Faculty Tenure-Track Extension and Transfers of Tenure-Track


Overview

In accordance with the Academic Personnel Policy (APP), section 4.5

Faculty Member transfer from the tenure track into the non-tenure track upon written request. In the TH Chan School of Medicine the request is submitted to the chair. The chair reviews the request and, if approved, makes a recommendation to the TH Chan School of Medicine Dean and Provost. If the Provost approves the request, the transfer is made by written agreement between the Faculty Member and, as applicable, the chair, dean, and Provost.



Transfer of Track Process

Extension

The process to request an Extension to the Tenure Decision Year within the DoM is as follows:

  • Upon discussion with the division chief that an extension is warranted, the faculty member makes a written request that includes the reason and the length of extension requested.  The letter and a recently updated CV is submitted to the division chief.

  • The division chief will write their letter of support and submit to DoM Tenure Team. 

  • The DoM Tenure Team will review request and forward to department chair for review/approval. 

  • The faculty request & CV, division chief letter of support as well as the department chair letter of support and request for extension will be submitted to the Office of Faculty Affairs (OFA).

  • OFA will review the request for completeness and obtain approval from the Vice Provost for Faculty Affairs, Dean, and Provost.

  • OFA will send a letter of confirmation of the new Tenure Decision Year.

Transfer onto the Tenure Track

The process to request a transfer onto the tenure track includes an offer letter detailing the new tenure track position being issued to the faculty member. Additionally, an administrative process must be completed within the Office of Faculty Affairs. This administrative process includes: 

  • Upon approval of the tenure track position, the DoM Tenure Team will obtain a letter of support for the transfer to the tenure track from the department chair. 

  • The letter of request along with a recently revised CV will be submitted to the Office of Faculty Affairs (OFA).

  • OFA will review the request for completeness and obtain approval by the Vice Provost for Faculty Affairs, Dean, and Provost.

  • OFA will send you a letter of confirmation along with a Tenure Decision Year Agreement.

Transfer to the non-tenure Track

The process to request a transfer to the non-tenure track from the tenure track within the DoM is as follows: 

  • Upon discussion with your division chief that this is the action you should take, a written request should be submitted to the division chief requesting your transfer off of the tenure track, along with a recently updated CV.

  • The division chief will write their letter of support and submit it to the DoM Tenure Team. 

  • The DoM Tenure Team will review request and forward to department chair for review/approval. 

  • The faculty request & CV, division chief letter of support as well as the department chair letter of support and request for the transfer off the tenure track will be submitted to the OFA.

  • OFA will review the request for completeness and obtain the approval from the Vice Provost for Faculty Affairs, Dean, and Provost.

  • OFA will send a letter of confirmation of the transfer off the tenure track. Learn more.
